Verification made Easy

About the Solution

At little time up front makes my verification process so easy.    First, I create a spreadsheet with all of the applications that I need to verify.  In this spreadsheet, I include:

  • Initial determination
  • New determination
  • Number of kids
  • Application number
  • Parent last name
  • Parent first name
  • Childrens names
  • Address
  • City
  • State
  • Zip
  • Phone numbers
  • Emails

From this list, I am able to create the following:

  • Verification Tracker for School Use
  • Letter home to families
  • Email
  • Phone call

Phone call/Email:   I send out an automatic phone call that I record and an email letting families know that the verification letter will be arriving in the mail soon with a short explanation as to why and how their name was randomly pulled.    I also leave them my contact information.

I usually get about 60 percent of my families responding within the first 10 days.  I think that the phone call and email explaining why and how they were chosen eliminates a lot of questions and anxiety that families get thinking that we are questioning them.

In 2015-2016 we were at 25% not responded.
